We are seeking a professional and friendly office assistant/receptionist to join our team here at XAG Group.
As the first point of contact for our organization, you will play a crucial role in providing excellent customer service to investors, tenants, vendors, visitors, and employees.
This role will be assisting the XAG Group CEO directly.
The ideal candidate possesses a positive attitude, exceptional communications skills, a professional demeanor, and the ability to handle multiple tasks efficiently.
Responsibilities (but are not limited to):
Greet and welcome visitors and clients with a positive and professional attitude.
Answer phone calls, direct calls to appropriate divisions, and take accurate messages.
Write and distribute email, correspondence memos, letters, faxes, and forms.
Provide general information and assistance to callers and visitors, ensuring prompt and courteous responses, maintain contact list as needed.
Maintain a clean and organized office and kitchen area, ensuring it is presentable at all times.
Plan team meetings and keep detailed track of meeting minutes, and sending weekly meeting minutes to internal teams.
Manage incoming and outgoing mail, packages, and deliveries, and distribute them to the appropriate departments or individuals.
Order and set up delivery for groceries, stock the fridge and clean out the fridge on weekly basis; reviewing stock levels of food and keeping a list for the next week of what needs to be ordered.
Maintain office supplies and inventory; ordering supplies when needed.
Schedule and coordinate meetings, appointments and conference room bookings.
Requirements:
High school diploma or equivalent; additional certification or coursework in office administration is a plus.
Proven experience as a receptionist or in a similar customer service role is preferred.
Excellent verbal and written communication skills.
Professional appearance and a friendly, approachable demeanor.
Strong organizational and multitasking abilities.
Proficient in using Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
Ability to handle confidential information with integrity and discretion.
Strong attention to detail and accuracy.
Ability to work independently and collaboratively in a team environment.
Flexibility to handle a variety of tasks and adapt to changing priorities.
Knowledge of the commercial real estate industry is a plus.
