, is looking for a talented and competitive Sales Assistant/Order Entry Rep who thrives in a quick sales cycle environment.
The Sales Assistant/order entry clerk will be responsible for the following:
receiving purchase order directly from the customer and/or salesperson, highlight information needed to process the order, confirm vendor's information (OMB/VOGT), check billing data, shipping instructions, verify and confirm the prices, file the paperwork in the File Room.
Responsibilities and Duties:
Process Purchase Orders from VOGT and OMB, Verify the information on the Purchase Orders and prepare it to enter in the system, Collect all the information regarding the order, such as chain of communication, quotations, specs (when applicable), CV request form (when applicable), Modification form (when applicable), Report the inconsistencies present on the purchase order to the salesperson and follow up on them till receipt of the revision, Download the quote from Smartsheet (when applicable), Check Smartsheet for multipliers, freight allowance criteria and Payment Terms, Report mismatches in regards of the Payment Terms to the accounting department, Code the Purchase order, check the prices and availability, Collect the signature of the salesperson assigned to that customer or quote, Assure that all the information is ready and properly signed off to be entered, Enter the order in the system, Upon completion of the processing, submit the package to verification with all applicable forms attached such as Order confirmation, shipping instruction sheet, emails, quote, Modification form, CV request form, check list sheet, Proceed with the corrections of the information when requested and re-submit to the verification department, Assure the status of the JOB was changed to Definitive upon completion of the JOB, Send the Order confirmation to the customer and CC salesperson responsible for the order, Scan the whole package, Save in the server on the designated folders, File the order on the designated place in the File Room.
Requirements:
Administrative Assistance experience is preferred, Computer Skills plus data entry experience, Meticulous attention to details is required, Excellent communication skills, High School Diploma is required Work as a team player, Ability to learn and work in the following:
EXCEL, WORD, Database System - Quasar X, SMARTSHEET, and other computer-based software / hardware / languages Other Requirements:
